The real cost of meeting admin

It's rarely the meeting that takes the time

It's the fortnight afterwards. Writing up the minutes, chasing who agreed to what, and finding last quarter's paper when someone asks.

"The minutes take me a whole evening."

Notes in one document, the agenda in another, motions half-remembered from the room. Every set of minutes is assembled from scratch.

Draft minutes generated from the meeting itself

"Nobody's sure what we actually resolved."

Wording drifts between the discussion, the email and the minutes. Who moved it, who seconded, and whether it carried, all rest on memory.

Motions recorded with mover, seconder and tally

"That action item died three meetings ago."

Tasks are agreed, written down, and never surface again until someone thinks to ask — usually the person who was waiting on it.

Open actions carry forward automatically

How the record is kept

Minutes that follow proper process

Most tools treat minutes as a document you save. A board, committee or trust treats them as a record that is drafted, circulated, corrected, and then adopted by resolution. BoardHQ works the way your constitution or rules do.

1

Open

The meeting has happened, and the write-up carries on. Notes, action items and resolutions can all still be added — because that is when most of it actually gets done.

Anyone with edit rights

2

Finalised

Locked and emailed to every member. An admin can still correct a genuine error — but must say what changed and why, and the previous wording is kept.

Corrections recorded against the record

3

Adopted

The meeting passes a motion accepting the minutes next time it sits. From that moment nothing can be changed — not by an admin, not by us.

Permanent, by decision of the meeting

Every note is also version-snapshotted as you type, so nothing is ever lost to a mis-click — and two people taking notes on the same item can't overwrite each other.

What's inside

Everything a formal meeting needs

Agendas that build themselves

Apply your standard agenda in one click, then drag items into order. Sub-items, time allocations and carried-forward business all handled.

Minutes in one click

Draft minutes assembled from the agenda, the notes, the resolutions and the actions — then edit freely in a proper editor that saves as you go.

Motions & voting

Record mover and seconder, set a quorum, and vote in the room, in the app, or by emailed link for anyone who couldn't make it. Tallies flow into the minutes.

Action items that persist

Assign an owner and a due date as it comes up. Anything still open appears on their dashboard and on the next agenda as matters arising.

Board papers, filed properly

Attach papers to the exact agenda item they belong to — 3.2, not just "the finance section". Preview Word and Excel without downloading.

One governance calendar

Every board, every meeting, AGM and statutory deadline in a single annual view, colour-coded and filterable.

For organisations with more than one group

Committees that report up properly

Finance, property, a fundraising sub-committee — each with its own members, meetings and papers, all under one organisation.

  • Refer a motion up to the governing body for approval, and see the decision come back
  • Delegate an action to another group without losing track of who owns it
  • Members see only the groups they sit on
  • Unlimited groups and members on the Board plan — no per-seat pricing

Questions committees actually ask

What happens to our minutes if we stop paying?

You export everything first — minutes as timestamped PDFs, plus resolutions, action items and your member list as CSV. It is one click from the admin screen and you can do it any time, not just on the way out. Your governance record is yours.

Can two people take notes in the same meeting?

Yes. One person edits a given agenda item at a time and everyone else watches the text appear live, with a button to take over. It means the Chair and the Secretary can work through different items at once without ever overwriting each other's words.

Do we have to move our historic minutes across?

No. Start with your next meeting and let the history stay where it is. Most boards upload their governance documents — constitution, policies, delegations — to the document library and leave old minutes in the archive.

How does the 30-day trial work?

You get the full product, unlimited members, no credit card. Nothing is charged and nothing expires quietly — we tell you before the trial ends, and your data stays put whether you subscribe or not.

Where is our data held?

BoardHQ is built and run from New Zealand, and your data is hosted in Melbourne, Australia. Consent is recorded against each member, every action is written to an audit log, and two-factor sign-in is available to everyone. If your board needs the specifics for a risk register, ask and we will put it in writing.

Can we use BoardHQ from Australia?

Yes. The governance vocabulary is the same either side of the Tasman — motions, movers and seconders, quorum, AGMs, minutes adopted at the next meeting — and your data is hosted in Melbourne. Prices are shown in New Zealand dollars and charged in NZD, so your card issuer will convert at the rate of the day.
